A law firm needs to distinguish the current document from earlier versions while controlling access by matter and role. Software comparison should test the working record, not simply the ability to upload a file.

Version history and access controls should be tested with the working record. Storage size alone does not establish the quality of document management or recoverability.

The decision that deserves the closest review

Demonstrate version history, matter-linked permissions, external sharing and audit records. Ask how data is exported in a usable structure and how support operates during an outage. Review processing terms and retention procedures with the appropriate specialists.

Subscription and total implementation cost

Build a budget for the intended period with the expected users, data and integrations. Include setup, migration, training, support and any usage-related charges. Record renewal pricing and exit costs separately. A plan’s entry price is not a useful comparison if the required workflow needs a different tier.

Run a demonstration of the required process in the actual quoted tier. Ask which changes would trigger a higher subscription, additional consultancy or a new contract.

A hypothetical example

A user sends a draft externally and later revises it. The demo tests whether the firm can establish which version was shared and revoke access where the system supports it.

A practical trial and procurement brief

Create a short trial script using sanitised representative records. Allocate a person to validate the output, permissions and exports. Include the team that will operate the system and, where relevant, the accountant, legal or security adviser who must review the results.

Test a complete matter-file history and export

Use sanitised documents to demonstrate version changes, restricted access and retrieval of an earlier record. Include a user whose access must be removed. Ask the supplier to show the quoted system’s permissions and history rather than assess it only through storage capacity or search speed.

Compare migration, support, recovery arrangements and usable export of the matter structure. Review the contract and data responsibilities with appropriate staff. A collection of downloaded files may not preserve the working organisation or metadata needed to move to another system, so test that exit explicitly.

Implementation, responsibility and leaving the service

Agree who owns configuration, migration checks and support escalation. A service that can be bought quickly can still be expensive to unwind if records and responsibilities are unclear.
